Events

Charity

Charity Staff
  1. Assists Charity Lead in their duties as needed.
  2. Staffs the Silent Auction and/or Charity Bins at-con.

Foal Events

Construction Assistant
  1. Lead for the building, construction, and safety of scenery and props.
  2. Sets up building days where members of the staff can come and help.
  3. Works with Events director to set and meet deadlines for construction of necessary assets.
  4. Works with Logistics to ensure proper and safe transportation of completed projets to the convention venue.
  5. Must have access to their own workshop and tools.
  6. (Must be local)

Foal Events Staff
  1. Assists Foal Events Lead(s) in pre-con planning and preparation.
  2. Assist with running Foal Events at-con.

Guest Relations

Guest Chauffeur
  1. Transports talent to and from convention venue to their hotel.
  2. Transports talent to any restaurants they wish to visit.
  3. Communications with Guest Relations director about pick ups and drop offs of Guests.
  4. Communicates with VIP Liaisons to schedule pick up and drop off times throughout the day.
  5. On time to retrieve Guests from their hotel.
  6. Must have a valid driver’s license.

VIP Guest Liaison
  1. Ensures each Special Guest is aware of the daily schedule in the morning.
  2. Sets a pick up time for the morning and estimated departure time from the convention space at the end of the day.
  3. Ensures each Special Guest is provided with meals, coffee, water, and snacks as needed.
  4. Ensures each Special Guest arrives at their events 5-10 minutes prior to its beginning.

Autographs

Autograph Room Staff
  1. Works with the Autograph Room Lead to ensure a safe environment for Guests operating within their contractual obligations for autograph and picture attendee interaction.
  2. Plan for and procure Autograph supplies and approved Guest signature cards, stocking to appropriate levels.
  3. Ensure that Autograph supplies are available and that Guests have their signature cards for each Autograph session.
  4. Collect and handle money in a manner consistent with proper business practices for accounting and fulfilling contractual obligations with convention Guests and attendees.
  5. Make an accurate accounting and reporting of all money collected and distributed through Autograph activities. (This is in addition to the further accounting done by the Con Chairs/Pegasi Board.)
  6. Be familiar with autograph and picture taking policies and enforce autograph and picture taking policies as set forth by the convention and Guest contracts.
  7. Be aware of and communicate, as appropriate, the terms and prices for each Guest

Human Resources

Director of Human Resources
  1. Updates Staff Directory weekly.
  2. Creates user account for every approved staff applicant.
  3. Makes sure each staff member creates a page with useful personal information during the selection process.
  4. Makes sure each staff member is added to the staff mailing list/newsletter.
  5. Makes sure the staff hiring/tracking document remains updated.
  6. Works with IT to update the Open Staff Positions page on the website weekly.
  7. Works with each department to determine number of staff positions needed for the year.
  8. Aids in the creation of descriptions for staff positions while consulting with Directors/Chairs.
  9. Coordinates information for monthly newsletter.
  10. Seeks out community members for specific staff positions.
  11. Attends other conventions throughout the year, informing potential staffers and attendees about the convention and building up hype.
  12. Arrange con book advertisement swaps, both with other conventions (including those outside of pony cons), and with businesses.
  13. Work with Street team to advertise and recruit in unreachable areas.

Information Desk

Information Desk Staff
  1. Run the Information Desk.
  2. Provide assistance to con goers, including books, lanyards, and general information. Experts in everything that has to do with the venue and history of the convention.
  3. Able to direct staff as well as attendees.
  4. Has phone numbers for each convention room in use during the con.
  5. Has phone numbers of directors in case of necessary emergency contact (not to be publicly available/revealed to general attendees).

Information Technology

Registration

Registration Staff
  1. Prepares badges prior to con.
  2. Assists with the processing of badge pick-up at con.
  3. Assists with successful delivery of perks to Tiered badge holders (Patron, Sponsor, Silver Seed, Gold Seedling, Diamond Sapling, Tree of Harmony)
  4. Assists with successful delivery of staff shirts to staff members.
  5. Assists with ADA badge distribution.

Operations

Equipment Manager
  1. Manage convention production equipment
  2. Oversee loading and unloading of rented production equipment

Logistics

Drivers
  1. Must have an up to date driver’s license (CDL Preferred, Class B Interstate IDEAL)
  2. Run errands to areas around the convention space to pick up supplies that may be needed
  3. Move equipment between the storage space and the convention space during load-in and load out.

Volunteer Hub Staff
  1. Manage Convention Operations Room
  2. Answer questions from guests
  3. Help coordinate message transfer between departments
  4. Manage the radios at-con and make sure they are charged at the end of the day.
  5. Takes requests from other departments to pass on to Operations Directors/Leads as needed.

Productions

Panel Camera Operators
  1. Report to camera lead
  2. Operate the cameras for panels and events at the Mane Stage

FOH Staff
  1. Work with the FOH Engineer to run the concerts.
  2. Move equipment on stage between sets
  3. Make runs to other areas of the convention for equipment.
  4. Must be willing to work nights.

Concert Camera Operators
  1. Report to camera lead
  2. Operate the cameras for the concert at the Mane Stage
  3. Must be willing to work nights

Concert Vision Switcher
  1. Instructs cameras with required shots and provide direction and advice

  2. Operates vision mixer to switch cameras and other sources for both in room screens as well as records and other destinations
  3. Operates the recorder for recording the concert for later editing
  4. Must be willing to work nights.

Daytime Vision Switcher
  1. Instructs cameras with required shots and provide direction and advice

  2. Operates vision mixer to switch cameras and other sources for both in room screens as well as records and other destinations
  3. Operates the recorder for recording Mane Stage panels for later editing
  4. Must be willing to work during daytime hours

Public Relations

Photography

Photography Lead
  1. Use a high quality camera to photograph events and attendees during the convention.
  2. Ensures the images are received by the Public Relations director after the convention.
  3. Works with Information Technology to choose the best images to represent the convention on the EFNW website, social media outlets, and other news sources reporting on the convention.
  4. Determines what staff positions are needed for Photography purposes, if any.
  5. Assists with any pre-con projects requiring photography.

Staff Photographer
  1. Coordinate under the Photography Lead.
  2. Use a high quality camera to photograph events and attendees during the convention.
  3. Assists with any pre-con projects requiring photography.

Royal Guard

Lunar Guard Staff
  1. Represent the public face of EFNW.
  2. Patrol the venue at night to ensure people are having good, clean, fun and reduce opportunities for harmful shenanigans.
  3. Respond to any security threats or emergency situations while on duty.
